CANCELLATION POLICY

 

At Outreach Rescue, we understand that plans may sometimes change unexpectedly. We aim to support you in managing your training bookings with flexibility while maintaining operational efficiency. This policy outlines the terms for cancellations, delegate changes, and course transfers.

Policy Overview

This policy applies to all training courses and services provided by Outreach Rescue. It includes guidelines on cancellations, changes to delegates, and course transfers.

Cancellation Terms

Notice Periods

8+ weeks’ notice:
  • Cancellation: No fee
  • Delegate change: Free of charge
  • Course transfer: Free of charge
4–8 weeks’ notice:
  • Cancellation: 50% of fees*
  • Delegate change: Free of charge
  • Course transfer: £40 admin fee
1–4 weeks’ notice:
  • Cancellation: 100% of fees*
  • Delegate change: Free of charge (provided pre-course requirements are met**)
  • Course transfer: Not offered
1 week or less:
  • Cancellation: 100% of fees*
  • Delegate change: Case by case (conditions apply**)
  • Course transfer: Not offered
 

Delegate Changes

  • Delegate changes can be made free of charge if sufficient notice is provided (see table above).
  • Conditions for delegate changes:
  1. Pre-course learning must be completed in time by the replacement delegate.
  2. Enrolment fees for third-party accreditation may still apply.
  3. Delegate changes within 1 week are subject to approval and operational feasibility.
 

Course Transfers

  • 8+ weeks’ notice: Transfers are free of charge.
  • 4-8 weeks’ notice: A £40 administration fee applies.
  • 1-4 weeks’ notice or 1 week or less: Transfers are not offered due to scheduling and operational constraints.

 

Third-Party Enrolment Fees

Some courses involve third-party enrolments (e.g., accrediting bodies). Any enrolment fees already incurred will be charged in the event of a cancellation or delegate change.

Recommendations for Organisations

We recommend having a standby delegate within your organisation who can step in to fill a late cancellation. This helps minimise financial impact and ensures full course attendance.

Force Majeure

In cases of unforeseen events such as illness, emergencies, or other force majeure situations, Outreach Rescue will assess cancellations or changes on a case-by-case basis.
